1. Definitions

"We," "us," or "our" refers to Afterlight Photo Booth

"You" or "your" refers to the client making the booking.

"Services" refers to the photobooth services, including setup, operation, and any additional offerings agreed upon.

2. Booking and payment terms
2.1 Deposit requirement
A 50% non-refundable deposit is required at the time of booking to secure your event date and confirm your reservation. No booking will be confirmed until the deposit has been received.​
2.2 Payment schedule
The remaining 50% balance is due no later than 14 days prior to the event date. Failure to pay the final balance on time may result in cancellation of the booking and forfeiture of the deposit.​​

3. Cancellations and rescheduling
3.1 Cancellation by you*
In the event of a cancellation by the client, the initial 50% deposit is non-refundable and cancellations must be made in writing.​​

3.2 Cancellation by us
If we must cancel the booking due to unforeseen circumstances such as illness, equipment failure, or force majeure, we are extremely sorry for any inconvenience this may cause. We will make every possible effort to avoid this situation and minimise disruption to your event.

In the event of a cancellation by us, you will receive a full refund, including the non-refundable deposit. We will also do our best to recommend an alternative supplier or solution where possible to help maintain the integrity of your event.

3.3 Rescheduling
We understand that circumstances may change. If you need to reschedule your event, please contact us as soon as possible. All rescheduling requests are subject to availability. If the new date is available and approved, your original deposit will be applied to the rescheduled booking.

4. Liability
4.1 Our liability
We hold appropriate public liability insurance and take all reasonable steps to provide our services professionally and safely. However, we are not liable for any indirect, incidental, or consequential damages arising from the use of our services. Our total liability, under any circumstances, is limited to the total amount paid for the booking.

4.2 Your responsibility
You are responsible for any damage to our equipment caused by you or your guests. Any damage will be charged at the cost of repair or replacement.

5. Health and safety
5.1 Safety protocols
You are responsible for ensuring the safety of your guests. We are not liable for any injuries, accidents, or damages that occur during the use of the photobooth. A booth attendant will be present to supervise the operation of the photobooth, to ensure that it is used appropriately and accurately, and to provide assistance where required.

All equipment will be checked prior to the event and is maintained in good working order, fully complying with UK health and safety standards, including electrical safety regulations. While the booth attendant will provide guidance on the safe use of the equipment, it is important that guests follow any instructions provided and use the photobooth responsibly. We cannot be held responsible for any injury or incident arising from failure to follow the provided guidance.

5.2 Venue requirements
It is your responsibility to ensure that the venue can accommodate the photobooth setup, including the necessary space, access, and power supply. However, we will have already discussed and confirmed these requirements with you prior to the event. If we are unable to set up due to venue restrictions that were not disclosed or agreed upon beforehand, no refund will be granted.

6. Customer responsibilities
6.1 Cooperation and access
You are responsible for ensuring we have timely access to the venue at the agreed-upon times, allowing us to set up and operate the photobooth without disruption. We ask that you provide adequate space and any necessary assistance to ensure a smooth setup and operation.

6.2 Guest conduct
You are responsible for ensuring that your guests use the photobooth in a considerate and appropriate manner. Should there be any misuse of the equipment or inappropriate behaviour, we may need to charge for any resulting damages or repairs. We kindly ask for your cooperation in maintaining a positive experience for everyone.

6.3 Permissions
It is your responsibility to ensure you have all necessary permission for photography and video recording at the event, including obtaining consent from your guests if required.

7. Privacy and data protection
7.1 Data collection
We take your privacy seriously. When you make a booking with us, we collect personal information (e.g., name, contact details, and event details) to process your booking and deliver our services.
7.2 Data retention
Photos and videos will be retained for [60 days] after the event, unless otherwise agreed for marketing purposes.
7.3 UK General Data Protection Regulation
All personal data is processed in accordance with the UK General Data Protection Regulation (GDPR).
7.4 Use of media for marketing
If you agree to allow us to use event photos and videos for marketing purposes (e.g., on social media or our website), we will request your explicit consent. You can opt-out of this at any time.

8. Force majeure
Neither party shall be liable for failure to perform their obligations under these terms if such failure is due to circumstances beyond their reasonable control, including but not limited to natural disasters or acts of government.

9. Governing law
These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
